How to import contacts
Bringing your contacts into CapaTalk is simple and flexible. Whether you’re starting fresh or migrating from another system, you can choose the method that best fits your workflow. CapaTalk supports importing contacts through a CSV upload, direct integrations with platforms like Shopify and WordPress, and even through our own API for advanced setups. This ensures your contact data is always up to date and ready to use in your WhatsApp Business communications.
CSV file import

Step-by-step
- Navigate to the contacts section and click on 'Import'
- Now you can upload or drag-and-drop a CSV file.
- CSV can include multiple columns and tags separated by commas.
Commas in the Tags field are important when importing contacts because they act as separators between multiple tags.
Multiple tags per contact
A single contact might belong to more than one category (e.g., “VIP, Newsletter, Shopify”).
Accurate segmentation
Without commas, “VIP Newsletter Shopify” would be treated as one tag, meaning you couldn’t later filter by just “VIP” or “Shopify.”
Automation & targeting efficiency
Tags power automations (like workflows, broadcasts, or retargeting).
Properly separated tags mean you can trigger an automation for “Newsletter subscribers” without accidentally including “VIP customers” in the same flow.
👉 In short: Commas = clean data, clean segments, and smarter targeting. - Our platform also supports various phone number formats, with or without country codes.

- Map CSV columns to platform fields manually if needed or just skip them if irrelevant.
- Then select your Import settings according to your knowledge.
Default Status: will select a default status to all the contacts imported.
Default WhatsApp Consent: select if client already consented with communication via WhatsApp.
Default Country Code: define a default country code for the imported database
Preview your import 👁️

Before uploading to avoid mistakes. You can preview how your contacts will be listed on CapaTalk platform.
Uploading should be done instantly. CapaTalk will then give you a report on the importation itself.

New contacts mean that new contacts were added to the paltform.
Updated means some contacts had information and that CapaTalk updated the information on our platform according to your organization.
Skipped means some contacts are duplicated and were skipped by our system since the contact already existed and the information about the contact was exactly the same as the last CSV file import. Therefore it's not new and also not updated. Skipped.
